1. Who we are

Gunly provides an AI-powered bid assistant for public tenders. This policy explains which personal data we process when you visit our website, join our beta or use our service, and what rights you have.

2. What data we collect

Contact and account data: your name, work email, company, role and login details.

Content you upload: tender documents, past bids, references, CVs and other files. These may contain personal data of your employees or contacts.

Usage data: technical information such as log-in times, features used and error reports, to keep the service secure and working.

3. Why we use it

To provide and improve the service, to handle your early access request, to communicate with you about your account, and to keep our platform secure. We process data on the basis of our agreement with you, our legitimate interests, or your consent where required.

4. How our AI processes your data

To analyse tenders and draft answers, your content is processed by AI models, including Claude by Anthropic, acting as a subprocessor. We use these models under commercial terms that do not allow your data to be used for training AI models.

Your documents are used only within your own workspace and are never shared with or used for other customers.

5. Where your data is stored

Your data is stored in data centers within the European Union. Where a subprocessor processes data outside the EU, we ensure appropriate safeguards such as the EU Standard Contractual Clauses.

6. How long we keep it

We keep account data for as long as you have an account. Uploaded content is deleted within 30 days after you delete it or close your account, unless we are legally required to keep it longer.

7. Who we share it with

We only share data with service providers we need to run Gunly, such as hosting, AI model and email providers. They may only process your data on our instructions. We never sell your data.

8. Your rights

Under the GDPR you have the right to access, correct, delete or export your personal data, and to object to or restrict its processing. You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

9. Cookies

Our website only uses cookies that are strictly necessary for it to work, such as keeping you logged in. We do not use tracking or advertising cookies.

10. Changes and contact

We may update this policy as our service develops. We will inform customers of significant changes. Questions or requests about your data can be sent through our contact page.
